Permanent Full-Time Administrative Assistant

The Kiiwetinoong Healing Waters Ontario Health Team (KHWOHT) is dedicated to fostering collaborative partnerships and advancing integrated care solutions for our communities. We are seeking a highly motivated professional to join our team as Administrative Assistant. In this integral role, you will provide administrative/clerical support to the Director of Integrated Care, and KHWOHT as assigned.

The Administrative Assistant supports and contributes to the guiding principles, mission statement, goals, objectives, policies and procedures of the Kiiwetinoong Healing Waters Ontario Health Team, with effective communication with all levels of members within the team. This is a Work from Home/ virtual position; therefore, we are looking for a highly organized and collaborative professional, who will operate effectively in a remote working environment.

Responsibilities:

Maintains a system approach for virtual office management and KHWOHT support

  • Produces correspondence, memos, reports, meeting agendas and meeting minutes as required.
  • Knowledge of office and virtual office procedures and routines
  • Email, Digital file retention and maintenance (SharePoint), Microsoft Teams, and other virtual platforms
  • Schedules council and working group meetings, types and distributes minute of meetings and agendas
  • Types in accordance with KHWOHT established formats
  • Updates policies and procedures as requested by the originator ensuring proper process is followed
  • Review material to ensure correct spelling, grammar, content and brings questionable transcription to the attention of the originator to ensure proper writing and procedures have been followed
  • Liaison between Chairs, Co-chairs, working groups, and councils as needed
  • Assist Executive Admin Support, Co-chairs, chairs and other members as needed
  • Other duties as assigned

Maintains appropriate information management for the implementation and monitoring of administrative services

  • Ensures processes are in place to effectively manage sensitive and confidential information
  • Knowledge of KHWOHT policies and procedures and can refer inquiries appropriately
  • Good understanding of work procedures to maintain consistently high volume and high-quality output
  • Familiarity with material handled to avoid replication and identify inconsistencies
  • Maintains systems to ensure that materials are submitted in a timely manner to meet deadlines
  • Demonstrates effective verbal, non-verbal and written communication skills
  • Consistently demonstrates strong interpersonal skills
  • Demonstrated ability to work on a regular and consistent basis; need to be able to have a flexible work schedule; needs to be able to manage multiple demands
  • Maintains processes that ensure quality services

Qualifications:

  • Completion of post-secondary education at the college or university level in a complementary discipline
  • Proficiency in various software applications, specifically SharePoint and Microsoft Off Teams and Other virtual platforms
  • Exceptional interpersonal and public relations skills
  • Excellent minute taking skills and compilation of meeting packages
  • Excellent written and oral communication skills
  • Excellent organizational and time management skills
  • Ability to work flexible hours
  • Demonstrated initiative to identify/recommend process improvements, and willingness to assume projects as assigned
  • Ability to work independently and as part of a team with minimal supervision
  • Demonstrated commitment to ongoing continued education and professional development

This is a Non-Union position; salary will be commensurate with qualifications and experience $31.65/hr-$34.75/hr.
